Universities across Australasia regularly evaluate their Learning Management Systems (LMS) to meet the increasing digital teaching and learning demands. LMS reviews conducted approximately every five years or so are driven by factors such as pandemics, contract renewals, fiscal considerations, and the pursuit of optimal student online learning experiences. Recent trends show that Australian universities are conducting LMS reviews more frequently and transitioning to new LMSs at an accelerated pace (Phil, 2022; Sankey, 2023a). This is to ensure the LMS of choice meets the Next Generation Digital Learning Environment (NGDLE) functionality (Educause, 2018), is affordable, reliable and is still fit for purpose. While ongoing LMS reviews are common, there is a lack of published information on how higher education institutions undertake them. There was little available to unpack how best to engage in open, transparent, and aspirational conversation with staff and students about their experience with the LMS. As part of the review, even less was published about the dialogue on the future teaching and learning needs and the future of the LMS. To help address this gap in the literature, this practice-based paper reports on our approach and the steps taken to propose a unique two-phase / multi-stage model for reviewing an LMS and offers a useful checklist for those who may want some help getting started.

At Ohio State University, students developed a list of 10 ways that instructors can use the learning management system more effectively — common-sense guidelines that aim to make courses more consistent, predictable, easier to navigate and generally more student-friendly. We spoke with Sam Craighead, associate director of professional learning in Ohio State's Office of Technology and Digital Innovation, about understanding the student perspective, supporting faculty with research-based practices, and the impact of instructional design on student success.
1-Upload the course syllabus to the LMS and provide it as a downloadable file. 2-Upload assignments with instructions and clear due dates. 3-Enter grades into the LMS when grading is complete. 4-Use a consistent mode of communication and mention it in class. 5-Organize course materials into modules according to content matter. 6-Remove unused tabs or pages from the course navigation. 7-Organize the course homepage with instructor contact information. 8-Utilize clear and consistent naming conventions for assignments and files. 9-Use Open Educational Resources when feasible. 10-Leverage the resources and support that are available from the university.

Last week I led a webinar for Contact North, a nonprofit corporation funded by the government of Ontario, that was meant as an update to last year’s session on the LMS. For this update I took a broader look at learning platforms in general, and how the LMS might have to share center stage moving forward, as the changes driven by Pandemic lockdowns have changed adoption patterns in a significant way. Whether you love it or hate it (or are somewhere in between), video platforms are likely here to stay and not just a sideshow. To best understand the changes, the core argument of the webinar is that you need to look at user adoption – the human and social issues involved – even more than the technology roadmaps of the platforms. This is a topic I’ve mentioned in several panel discussions and notes to our EdTech Market Analysis subscribers, but I build out the argument more fully in this webinar.

Does the learning management system truly enhance instruction? I am not teaching, but I nonetheless think of this time of year as the swearing–at–the–learning management system period. The swearing at the LMS commenced from the first moment of logging on and starting the inevitable jousting as I tried to corral an interface that seemingly was set up to do everything but nonetheless stubbornly resisted my desires. The swearing was always greater in the fall semester as some task I had previously learned how to do now had a different flow inside the system, requiring a perpetual process of unlearning and relearning.

Every instructor can expect their college will provide a course shell on the learning management system they support. The shell may be largely empty, or it may be completely filled with the materials for the course, or it may be partially filled.
