Plan before you scan - You must think about the reasons why are you scanning your documents, and what are you going to do with them later.  Even if the only additional steps you take during the scanning process are to set up detailed indexing procedures while you are scanning the documents, that will make a world of difference in what you can do with the images later.  It is much more expensive to index post processing, and without good indexing, you cannot search for and locate any imaged document.

 

This is an excellent reminder to any organization looking to "go paperless."

Virtualization, mobility and cloud technologies have broadened the possibilities for business continuity and disaster recovery, both of which form an integral component of information security according to an article from Markets Media “You no longer have to build out a 1:1 data center in another location to get true disaster recovery,” said James Russell, principal in the information technology group at consultancy Rothstein Kass. “It is possible to build in-house solutions for a fraction of the cost and space it used to require using virtualization.” Hedge funds and other trading and investing firms can have DR built in as part of their cloud infrastructure. “That is one of the strengths of the cloud and providers with multiple data centers,” Russell said. “With the right provider, DR is almost a by-product of their infrastructure design. This allows about any company to have a good DR solution without having to put down a large capital expenditure like in the past. Now it can be built into the solution and instead becomes an operating expense.” Mobility also offers more advantages than in the past. “If your DR solution is cloud-based or otherwise designed for mobility you can have users working remotely from just about …

We love this quote: "Unfortunately, for some providers, security is an afterthought, which doesn’t always stop them from making bold security claims in their marketing campaigns. It can be difficult to reliably identify the ones that actually are capable of providing adequate security."

ALWAYS vet your vendor, and be careful before you believe their security claims.  Kick the tires, look under the hood.  You'll be glad you did, and a vendor that has a secure product will never mind the scrutiny.

Keeping track of financials is an important and necessary part of any business. But when I hear brokers talking about "paperless agents," I always get the feeling it's about them and their business, and not at all about the agent or the client.

What's your opinion?  Who benefits the most from the transition from paper to paperless, the company or the customer?  We find that when our customers "go paperless," they are able to provide faster, better service to their own customers, and the company itself is stronger after the transition, so everyone benefits.
