There are hundreds of checklists that tell us how to set up a physical office. But, there are very few that guide us through the process of establishing a virtual one. The following information intends to fill this gap. A virtual office has all the components of a physical workspace, with the exception that most of it resides on the cloud. Cloud technology enables workers from any location to access information and work remotely.


The requirements for a virtual workspace can be categorized into two aspects – tangible and intangible.


Tangible aspects


1. Receptionist

Personal assistants can help with all administrative tasks, while charging you only for as much as you have used. Virtual personal assistants such as Highrise and 37signals can do just about everything that a real assistant does. For users, Highrise is free, whereas one project with an unlimited number of users can be freely used in 37signals.


2. Documentation and Storage

Using the cloud to handle documentation and storage, enables many people to access it and use it. Google Docs offers Word documents, spread sheets, and presentations. DropBox can be used to store and share files. Other applications, such as Amazon S3 and Gladinet Cloud Desktop can be used as well. Google Docs is free, whereas advanced versions of DropBox charge a fee.


3. Mail handling and courier systems

For that all-important business address, services like i2 Office can be availed which provide a mailing address, a mail forwarding service, and physical meeting rooms that are charged by the hour.


4. Phone and voice mail

A cloud-based phone system such as GoogleVoice and RingCentral can be used, which provide fax numbers and toll-free 800 numbers. The advantage is that you can use computer, mobile, or VoIP to receive and make calls. While GoogleVoice is free, RingCentral charges between US$ 10 and US$ 80 for its services.


5. Some real estate – your own desk space

There are firms that provide desk space for your virtual employees for situations where it is needed.


6. A business address and meeting spaces

Companies known as Mail Identity Packages provide a mailing address as well as physical meeting space, for whenever it is needed. Your kitchen table or the local café may not always be a professional place to meet clients.

Intangible and soft aspects


7. A shared objective

It is easy for virtual teams to get demotivated due to the tendency to feel isolated. In the absence of continual human contact, a shared objective that inspires employees to work toward a common goal can help boost morale. Team collaboration and innovation is key to define and manifest a shared objective in the minds of all your team members working virtually.

You will need to conduct meetings for various purposes – project meetings, client meetings, or even just to deliver a pep talk.
