Sometimes the learning is such that there is no obvious process or standard which can be changed, and there is no immediate customer for the knowledge.  In those cases we need to preserve it in such a way that our learning is expressed as a recommendation for the next team, and is supported with the reason, the narrative, any relevant artifacts and the contact details of the person behind the recommendation.  These things all add context to what would otherwise be a recommendation in isolation.  The next team then have more background to assess whether this particular recommendation is relevant in their world.

Imagine if you had to perform a search on Google, Amazon or Facebook, and it returned a screen full of folders? What an awful user experience that would be.

 

Technology has evolved; with Web 2.0, new ways of managing large amounts of unstructured data have emerged. The combination of tags and filters provides a powerful capability for managing content in a single, easy-to-use interface that supersedes any complex multi-disciplinary folder structure you can think of. These tags can automatically present the documents in a virtual structure — no physical folders, no manual placement of documents required.

 

The consumer web has embraced this new way of thinking. So why are we still allowing ourselves to be tortured by archaic technologies at work? If finding a document were as easy as finding a book on Amazon, users would be highly more productive – not to mention more sane.

I still keep some folders in my paper system, but do really love the flexibility and speed in finding documents in virtual structures!

Google Drive as an Organizational Document Management System: an NTEN Case Study | NTEN

While it's no secret that most people love spending their extra time elbow deep in their Internal Document Management Systems, tweaking things until everything is just right, I still do hear of the occasional fringe case where an organization is just trying to figure out the best way forward, as old policies and methods no longer match up with new systems and technologies.

In all seriousness though, I see examples everyday where small issues with our own internal document management system can easily spiral into much larger issues of lost productivity, duplicated work, or conflicting messages, and I'm guessing NTEN is not alone in this.

One of my hobby-horses is that publishing knowledge is of no value, unless that knowledge can be found and re-used. It needs to be usable, and to be usable (if it is published in a database or in a website) then it needs to be findable.This includes the ability to find lessons within a database, or stories within a story folder, or relevant posts within a community blog.

Knowledge reuse is one key missing part in many organisation.  Knowledge base can easily become knowledge coffin if nobody uses the knowledge inside.

More cities are transitioning to an electronic document management system in order to cut paper resource costs and reduce administrative demands on staff.

Sun News reported that Ken Ramser, Cleveland's city council clerk, has devised a paperless initiative that includes implementing laptops and iPads for every council member in place of paper ordinances. Ramser told the news source that the council clerk's office currently makes more paper copies than any other city department, and going paperless is part of a long-term objective to cut copy costs. Before Ramser took his clerk position in 2011, the city was mailing copies of its ordinances to Seven Hills City Hall, a process which digitization will eventually eliminate. He proposed a maximum of $500 per council member to spend on paper copies of invitations, fliers and other mailers.
