Some of the ways that managed service providers can resolve the issues associated with Yahoo’s email recycling program—supposing that a business or any of its employees are using Yahoo email accounts for work purposes—include:

Email Hosting. In the first place, it’s not advisable for a business or any of its employees to be using Yahoo email accounts as their primary work email addresses. For one, it comes off as unprofessional to use a Yahoo email address as one’s work email address. Also, a Yahoo email account is less secure (it’s more likely to be targeted by hackers and isn’t defended from brute force attacks), isn’t backed up, and can’t be accessed by a business’s IT administrator. Businesses can obtain personalized, centralized, backed-up, and secure email accounts by signing up for email hosting from a managed service provider.

Procurement. Just because a business prefers on-site email hosting to off-site email hosting doesn’t mean that it can’t get some assistance from a managed service provider—MSPs can acquire the servers and software of a business’s email hosting infrastructure for below-market prices due to their longstanding partnerships with manufacturers, developers, and vendors.  

Hosted Desktops. These are IT solutions that appear and perform just like Windows desktop operating systems, except they are hosted in a datacenter by the managed service provider and accessed via the Internet. With hosted desktops, employees can access all of their applications, files, and emails from anywhere with any computer, tablet, or smartphone. As opposed to a standalone email hosting solution, hosted desktops are a good choice for businesses that need an IT infrastructure or that want to switch to a cost-efficient hosted IT infrastructure.

Security Policies, Monitoring, and Content Filtering. It’s a good idea to prohibit employees from accessing their personal Yahoo email accounts when they’re at the office, too. The protection that Yahoo email accounts offer from malware and spam isn’t sufficient to permit its use within the company firewall. A managed service provider can help to prevent employees from accessing their Yahoo emails by devising written security policies that prohibit them from accessing Yahoo while at work; by monitoring web traffic to make sure that no one accesses the Yahoo site; and by using a content filter to block access to Yahoo altogether.
