Talking about how you prefer to communicate in virtual project teams in the beginning helps setting the expectations. There are not only generation differences but also cross-cultural differences. I think that one of the reasons why virtual conferencing is still not the prefererred tool is that very often it is not done in a good way. For example many people use Microsoft Lync for online meetings and most of the meetings are boring and rather demotivating... People should be trained on how to make the best out of virtual meetings - especially in virtual teams.

Even thought the differences between West and East always seem striking and difficult there are also differences of directness among Western cultures. Even collaboration between Americans or Canadians and Germans can result into misunderstanding and conflict. This is because the German culture includes more direct communication than the American culture. So what if a very direct German communicates with Asian colleagues in a virtual team? This all makes clear: Cultural awareness in virtual teams is extremely important.

At an industry conference this week attendees agreed that one of the issues that concerns them most is culture. This is not a surprising outcome since the industry has seen the entrance of many other competitors and a disruption to business as usual. 

 

Using the iceberg model we can illustrate why complex change like cultural transformation is so difficult. There is widespread knowledge that this kind of endeavor takes time and a lot of resources.  Why?  Because the heavier lifting needs to be done “below water” to ensure that there is complete understanding of impacts/challenges that the new normal poses to shared assumptions, perceptions, values, beliefs, traditions and feelings. Then plans must be created and implemented to support the learning and adjustment required for the new norms, traditions and procedures that come with transformation. This is not a quick program because under water is where we deal with the emotional and sometimes “messy” side of an organization. A good change program anticipates and prepares for the journey of transformation using the whole iceberg.  Leveraging a good change partner is a common strategy that allows the organization to focus on the “above water” activities while the partner helps with the “under water” challenges.

 

If you’re thinking about culture change, know what you’re getting into and that there are no short cuts. However, if you’re dealing with disruption in your industry, and a strategy of improvements is no longer good enough, you may well want to ask yourself, “Can I afford not to undertake culture change to meet my business goals?”

An IT training course about the functions of Microsoft Lync (or now Skype for  Business) will not be enough to overcome the challenges of virtual collaboration.

 

At the beginning of all my training courses most of my customers tell me that despite all technology they still find it easier to collaborate with colocated team members than with distant team members in virtual teams.

However, the main part of this can also be done with most whitboards the online meeting tools have on board, e.g. the Lync or WebEx whiteboard. Even though not that sophisticated, everybody can write down his or her ideas in a specific section of the Whiteboard.
